Responsibilities:
- The Intake & Administrative Support Manager is responsible for ensuring that administrative processes are effective and efficient, including: collaborating with staff and other managers to understand current procedures, criteria and priorities for each process.
- Create cross-functional and departmental processes and procedures to build structured processes for client engagement through Build-in support systems to ensure that staff have the resources and information to carry out all duties in an effective manner Develop process development plans Regularly review processes and continuously improve how teams serve clients and departments.
- Monitor the intake process to ensure that the first point of contact for clients is friendly, culturally responsive, supportive and time-sensitive; continue to evaluate the efficacy of the intake process for each program in coordination with the Clinical Directors and Supervisors.
- Support the Admission Team in developing and maintaining client relationships at various contact points from first call, planning, confirmation calls and any other service-wide opportunity. Ensure Intake Team is qualified and informed on internal and frequently used external referral tools and readily offers this data to potential clients or clients that the Center is unable to provide services.
- Administrative Support Supervisor will direct and oversee the Program Support and Admission Teams including: serving as a knowledge expert on technical issues relevant to the support role of the Program, including but not limited to, knowledge of processes and exceptions to processes, a high understanding of implementation data, an understanding of the Agency's culture and workflow. Attend regular one-on - one meetings with each team member to ensure support and resources are in place, provide input and recognize development opportunities.
- Facilitate team meetings, break-out meetings and other meetings as needed Continuously review procedures to ensure effective work management; work closely with the Intake team to ensure that all processes are recorded and reviewed when necessary to support systematic, repeatable and consistent implementation. Hire and board new staff, including evaluating resumes, conducting interviews, negotiating deals, and ensuring that new hires attend all of the training events necessary, and having the resources needed to effectively get on board.
- A bachelor's degree is required in a related field. 3-5 years of experience in the role of administrative support is required. 1-3 years of supervisory experience is required.
- Must have outstanding organizational and communication skills, including attention to detail and various tasks.
- Must be self-motivated and self-employed, when collaborating with managers, doctors and employees across the Company.

- Must be able to handle confidential information with integrity.
